
Cancellation and Refund Policy

At Big Bear Hiking Adventures, we want you to have a great experience on the trail. Because our hikes are scheduled experiences with limited spots and dedicated guide time, all reservations are subject to the policy below.
Reservations and Payment
All reservations are charged in full at the time of booking.
All reservations are nonrefundable once booked, except when Big Bear Hiking Adventures cancels a hike or otherwise determines that a refund is appropriate under the circumstances described below.
By completing a reservation, you acknowledge and agree to this Cancellation and Refund Policy.
Weather and Trail Conditions
Most weather is not a deterrent when it comes to hiking. We may hike in snowy, icy, rainy, muddy, or otherwise changing conditions when the guide determines that conditions are appropriate for the experience.
Real-world conditions can be part of what makes time on the trail meaningful. They can also provide opportunities to learn how to travel safely in different environments.
However, the safety of our guests and guides always comes first.
Big Bear Hiking Adventures reserves the right to modify, reroute, postpone, or cancel a hike when the guide determines that conditions are unsafe or that continuing as planned would create an unreasonable safety concern.
Conditions that may affect a hike can include, but are not limited to:
- Severe or rapidly changing weather
- Snow or ice conditions
- Heavy rain or flooding
- Lightning
- High winds
- Wildfire or fire-related restrictions
- Trail or road closures
- Hazardous trail conditions
- Other conditions that may affect the safety or accessibility of the hike
If Big Bear Hiking Adventures needs to cancel a hike because of unsafe conditions, BBHA will contact affected guests and explain the available options.
When BBHA Cancels a Hike
If BBHA cancels your hike before it begins because the guide determines that conditions are unsafe, we will contact you with the available options.
Depending on the circumstances, options may include:
- Rescheduling your hike for another available date
- Receiving a credit toward a future hike
- Receiving a refund
The options available may vary depending on the type of reservation, availability, timing, and circumstances surrounding the cancellation.
If a hike is modified rather than canceled, the reservation remains subject to the original booking terms.
Road Conditions and Travel to the Trailhead
Guests are responsible for allowing enough time to safely travel to the trailhead.
Winter weather, snow, ice, traffic, road closures, and other travel conditions may affect your ability to reach the meeting location.
If you are concerned that road or weather conditions may prevent you from arriving on time, please contact BBHA as soon as possible.

A guest’s inability to reach the trailhead does not automatically mean that BBHA has canceled the hike. If the hike proceeds as scheduled, the reservation remains subject to this Cancellation and Refund Policy.
Late Arrivals
Please plan to arrive at the trailhead 5–10 minutes before your scheduled hike start time.
If you know you are going to be late, please contact us at 909.855.9395 as soon as you know and, whenever possible, at least 5 minutes before your scheduled start time.
A late arrival may affect the amount of time available for your hike. Because the guide may need to maintain the scheduled departure time and accommodate other participants or reservations, the hike may need to be shortened if you arrive after the scheduled start.
For private hikes, arriving more than 15 minutes after your scheduled start time without contacting BBHA may be considered a no-show.
No-Shows
No-shows are nonrefundable.
If you do not arrive for your scheduled hike and do not contact BBHA, your reservation will be considered a no-show and no refund will be issued.
If you know you cannot make your hike, please contact us as soon as possible. While reservations remain nonrefundable, contacting us allows us to understand the circumstances and determine whether any available options apply.
Cancellations by Guests
Because reservations are scheduled in advance and spots are reserved specifically for you, guest-initiated cancellations are nonrefundable.
This policy applies regardless of the reason for cancellation, including:
- Illness
- Change of plans
- Travel delays
- Transportation problems
- Weather concerns when BBHA has not canceled the hike
- Road conditions when the hike is still proceeding
- Personal or scheduling conflicts
- Failure to arrive at the trailhead
If you are unable to attend, please contact BBHA as soon as possible. Although a refund is not guaranteed, timely communication allows us to determine whether another option may be available.
Transferring Your Reservation
If you are unable to attend, you may contact BBHA to transfer your reservation or spot to another person.
Transfers are subject to the requirements of the specific hike or event and must be approved by BBHA in advance.
A transferred reservation does not create a right to a refund.
Special Events and Seasonal Experiences
Special events, retreats, seasonal hikes, and other experiences may have additional booking requirements or policies.
Any special cancellation or refund terms that apply to a particular event will be provided with that event’s booking information and will take precedence over this general policy where applicable.
Refund Processing
When a refund is approved, it will generally be issued to the original payment method used for the reservation.
Stripe, our 3rd-party transaction system indicates a processing time of 5-10 business days.
Our Commitment to Safety
Hiking in the mountains means accepting that conditions can change. Our goal is not to avoid every drop of rain, patch of snow, or muddy section of trail. It’s to make thoughtful decisions about what conditions are appropriate for the experience and when a change of plans is the safer choice.
The guide’s safety decision is final.
